A coffee cart for your end-of-year event.

The end-of-year function is often the one event where the whole company is in the same room. A barista bar in the middle of that room gives people a reason to pause together, and it takes one job off the organiser's plate at the busiest time of their year.

It is also one of the busiest times of year for coffee cart bookings. Here is how to plan one for an end-of-year or Christmas event, from when to book to what to pour when the weather turns warm.

Book before the season fills

Two to four weeks ahead is the comfortable window for any booking, and the end of the year is one of our peak periods, alongside Melbourne Cup and EOFY. In Melbourne, Fridays and end-of-year dates go first. If your date is fixed, send the enquiry as soon as the date is.

Two timings are worth adding to your plan:

  • Branded cups need four weeks of production from the moment we receive your artwork. For a mid-December party, that means artwork in by mid-November.
  • Weekend and public holiday dates run at a published surcharge over the weekday rate, quoted up front, so you know the full number before you commit.

If the date has not been set yet, it is still worth a conversation. We do take shorter-notice bookings when we have a crew free, but in this part of the year that is harder to promise.

Formats that suit the end of the year

Three formats suit this time of year well.

The in-office celebration. A morning or afternoon where the team downs tools and gathers. The cart sits in the middle of the room, and the coffee gives people a reason to stop at the same spot and talk to colleagues from other teams.

The client thank-you. An event for the people you work with, where the cart can carry your brand on a front panel or on branded cups, so guests leave with something that says who hosted them.

The long afternoon. An awards session, an all-hands or a planning day that rolls into drinks. Coffee carries the room through the afternoon, and if the program runs long, we usually extend the service on the day and invoice the extra time afterwards.

Wherever it lands, the practical needs are the same: two standard 10-amp sockets for the regular cart, parking close to the setup point, and lift access if the room is upstairs. We carry our own water, and the cart is running within an hour of arriving.

Cold drinks for a summer crowd

December in Melbourne and Sydney can be warm, and a room full of people warms up fast. Iced coffee is a standard opt-in at no additional cost, and it applies across the whole package: if you book 100 serves, all 100 can be iced.

For guests who want something cold without the caffeine, add fresh juices, sparkling water or still water alongside the coffee. Our mixed juice package covers orange, apple, green, apple and mango, and orange and pineapple.

Food and the guests who skip coffee

End-of-year crowds are mixed, so plan for more than espresso. T2 teas, chai, matcha and hot chocolate are on the standard menu, and full-cream, light, almond, oat and soy milk are all included. Decaf is standard on every booking.

If you want the whole break handled, catering can come with the cart: sweet pastries from Brasserie Bread, savoury platters from The Catering Project, a seasonal fruit platter, and a gluten-free slice pack from Munja Bakehouse. The slices are gluten-free but contain other allergens, including nuts, so flag any severe allergies when you book and we will brief the barista.

Size it for a guest list that keeps moving

An end-of-year guest list can shift right up to the day. If your headcount is an estimate rather than a fact, the Unlimited package, from $1,499, removes the guesswork with no cap on serves. If numbers are firm and the group is smaller, Standard, from $999, covers a set number of serves. Both carry a one-hour minimum.

For a closer estimate, our guide to how much coffee per person for an event walks through the sums. When your date is set, corporate coffee cart hire starts with the date, the headcount and the feel of the day, and we come back with one all-inclusive price.

Still wondering something?

How early should I book a coffee cart for an end-of-year event?
Two to four weeks ahead is the comfortable window, and the end of the year is one of our peak periods, so earlier is better if your date is fixed. Allow four weeks from artwork if you want branded cups.
Can you serve iced coffee at a summer event?
Yes. Iced coffee is a standard opt-in at no additional cost. It applies across the whole package, so if you book 100 serves, all 100 can be iced.
What can guests order if they do not drink coffee?
T2 teas, chai, matcha and hot chocolate are on the standard menu. Fresh juices and bottled still and sparkling water can be added as cold drinks.
Do you charge more for weekend or public holiday events?
Weekend and public holiday events run at a published surcharge over the weekday rate, and we quote it up front.
