How much does coffee cart hire cost in Sydney?

Coffee cart hire in Sydney starts from $999 for our Standard package and from $1,499 for our Unlimited package, each on a one-hour minimum and ex GST. The price covers the cart, a professional barista, the espresso machine, specialty coffee, dairy and alternative milks, cups, setup and pack-down. Weekends add 15%, public holidays add 30%, and there is no travel charge within 20km of our Annandale base.

The rest of this post covers what moves a Sydney quote up or down, so the figure you budget for is the figure on the invoice.

What you get for the price

Both packages are all-inclusive. There is no separate line for the machine, the beans or the oat milk, and no setup fee hiding at the bottom of the quote. What separates the two packages is how the coffee is counted.

  • Standard, from $999. A set number of serves across a set service window. It suits a team breakfast, a client morning tea or a launch where you have a good idea of who is coming and when.
  • Unlimited, from $1,499. No cap on serves for the whole booking. It suits a conference, an expo stand or a full-day program where the headcount is a best guess and the breaks arrive all at once.

Coverage, booking windows and the full package detail are on our coffee cart hire page, and the Sydney coffee cart hire page shows where our Sydney crew works most weeks.

What moves a Sydney quote

Two Sydney events with the same guest list can come back with different numbers. These are the reasons:

  • The day. Weekend events add 15% to the weekday rate and NSW public holidays add 30%. A Saturday activation in Barangaroo is quoted on that basis, up front.
  • Service length. Every booking starts at one hour. An extra barista hour is $100 on a weekday, $115 on a weekend and $130 on a public holiday, ex GST.
  • How fast the demand arrives. One barista pours up to 80 coffees an hour. If a session break sends a room full of delegates to the cart at once, a second barista on the same cart lifts that to 160 an hour, from $400 for a weekday half day or $800 for a full weekday.
  • Distance. Nothing extra within 20km of Annandale. Parramatta, Penrith, the Central Coast, Newcastle, the Hunter Valley, Wollongong and the Blue Mountains are all within reach, with a per-kilometre charge shown on the quote.
  • The venue. Some Sydney venues apply a fee to external caterers. We work inside ICC Sydney as an external caterer and offer a partial rebate on its loss-of-revenue charge, confirmed in your quote. For any venue, confirm its current catering terms with your venue contact.
  • Branding. Printed cups, a front panel or a full cart wrap change the quote and need lead time, so mention them early.

If you want the cart without the crew, dry hire is $550 on a weekday and $650 on a weekend, plus delivery. Most corporate clients choose the full service, since the barista is the part of the experience your guests talk to.

Getting your Sydney booking right

Two to four weeks of notice is comfortable for most events, and the September to November season fills first. If your date is fixed, book earlier rather than later.

To get an accurate quote the first time, have these ready:

  • your date, start time and how long you want coffee served
  • the venue address and where the cart will stand
  • a realistic guest count and when the busiest break falls
  • whether you want branded cups or a wrap

Check access, loading and power with your venue directly, because every building sets its own rules. The cart needs two 10-amp sockets, or one 20-amp outlet for the larger cart, and we bring our own water, so a sink is never part of the question. The cart is running within an hour of arrival and packed down within 45 minutes after service.

How we see it

We publish our prices because Sydney event planners have enough to chase without waiting a day for a number. You should be able to test a budget against a real figure before you send an enquiry, and a page that hides its pricing makes that impossible.

The usual advice is to pick the cheapest package that technically covers your headcount. We think that misses the point. What our Sydney crews see at CBD conferences and harbourside launches is that the number of guests is rarely what goes wrong. Timing is. Two hundred delegates spread over a day is an easy shift for one barista. The same two hundred walking out of one ballroom into a fifteen-minute break is a queue that swallows the break, and that queue is often the moment your guests decide what kind of event this is.

So when we quote, we ask about your program before we ask about numbers. When is the first break, how long does it run, and does everyone leave the same room at the same time? Sometimes the answer adds a second barista. Often it does the opposite: a long, relaxed service window suits the Standard package better than Unlimited. Either way, your investment should follow the shape of your day, not a line on a spreadsheet.

Still wondering something?

Do you charge travel for Sydney events?
Not within 20km of our Annandale base, which covers the CBD, Barangaroo, Pyrmont, North Sydney and the inner west. Further out, travel is charged per kilometre and itemised on your quote before you book, so an event on the Central Coast, in Wollongong or up in the Blue Mountains carries no surprise on the invoice.
Can you serve inside ICC Sydney?
Yes. We operate inside ICC Sydney as an external caterer. The venue applies its own loss-of-revenue charge to external catering, and we offer a partial rebate to help offset it, confirmed when we quote your event. Check the venue's current terms with your event manager there, as they are the venue's to set.
What if our Sydney event runs over time?
An extra barista hour is $100 on a weekday, $115 on a weekend and $130 on a public holiday, all ex GST. If the agenda already looks likely to stretch, tell us when you enquire and we will build the extra time into the quote rather than adding it on the day.
What is the cancellation policy on a Sydney booking?
Cancelling within 30 days of your event carries a 50% fee, and within 7 days a 100% fee. Custom branded cups and wraps cannot be refunded once produced. If we cannot deliver, or arrive more than an hour late, we refund your invoice in full.
